# Insurance for vending machine operators in Germany

> Your vending machines stand in offices, schools, stations and hallways, almost always on someone else's premises and unattended. That is what makes insurance for vending machine operators different: each machine has to be protected away from your own address, against break-ins as well as water and power faults. This page explains the rules in Germany, typical costs and the gaps operators often miss.

## Isn't my machine covered by the host's insurance?

Usually not. The machine belongs to you, so the host does not insure it. And if water leaks from your coffee machine into their office, their insurer will come to you. You need your own property cover for machines at every site and public liability that includes damage at the host's premises.

## At a glance

- **Trade notice:** Anyone who sets up machines of any kind as an independent business must notify the authority at their main place of business (section 14(3) of the German Trade Regulation Act, GewO)
- **Youth protection:** In public, alcohol and tobacco may only be sold from machines that keep children and young people out by technical means or supervision (sections 9 and 10 of the Youth Protection Act, JuSchG)
- **Biggest risk:** Break-ins and vandalism at unattended sites, plus water and electrical damage at the host's premises
- **Basic cover from:** about €150 a year for public liability for a small operator, a guide figure from our quoting practice
- **Often forgotten:** Machines at outside sites are not automatically included in a standard contents policy; each site must be named

## What goes wrong in this trade

- **Overnight break-in:** The snack machine in a station passage is prised open. Cash box empty, door bent, coin validator destroyed.
- **Water at the host's site:** A hose on the coffee machine comes loose over the weekend. On Monday the client's office is flooded.
- **Injured users:** A poorly secured machine tips over when someone shakes it, or a child traps fingers in the dispenser.
- **Cooling failure:** A power cut or broken compressor spoils drinks and fresh food, and the site earns nothing for days.
- **On the refill round:** The van with stock and change is broken into or involved in an accident on the round.
- **Card payment and telemetry:** Modern machines are online. A telemetry or card terminal failure can shut down many sites at once.

**Risk radar** (Compared with other trades, 1 low to 5 high.): Liability 3, Fire and water 4, Theft 5, Cyber 3, Downtime 3, Health 2

## What it costs: example prices

Premiums depend on the number and value of machines, the type of sites and how much cash sits in each machine. A machine in a guarded factory costs less than one in an open station passage.

| Insurance | Example | Typical range |
| --- | --- | --- |
| Business liability | Operator with up to 20 snack and drinks machines in offices, €3 million limit | about €150 to €350 a year |
| Business contents | 15 machines worth €60,000 in total at outside sites, including break-in and vandalism | about €600 to €1,500 a year |
| Electronic equipment | Card terminals and screens for 20 machines | about €200 to €500 a year |
| Car insurance | Van up to 3.5 tonnes, liability and partial cover, mid range no claims class | about €700 to €1,400 a year |
| Cyber insurance | Operator with networked machines and card payments, small limit | about €400 to €900 a year |

For comparison: Public liability for a small vending operator costs about as much a year as one new coin validator.

## The worst day in vending

Six losses vending machine operators really face, all on one Monday. Tap through and see which policy steps in.

- 08:15: A client reports that water from the coffee machine soaked their carpet over the weekend. (€9,500, Paid by: Business liability)
- 10:40: A power surge after a storm: three card terminals stop working. (€2,400, Paid by: Electronic equipment)
- 13:20: On the round, the van hits a parked car while manoeuvring. (€3,100, Paid by: Car insurance)
- 15:00: A pupil shakes the drinks machine, it tips over and injures his foot. (€6,000, Paid by: Business liability)
- 19:30: Ransomware locks the telemetry and card payment software; every site is cash only. (€7,500, Paid by: Cyber insurance)

**Damage so far:** €32,300

## Practical tips from your broker

- Keep a site list with address, machine and value, and send changes to the insurer; unlisted sites are often not covered.
- Agree in the placement contract who is liable for water and electrical damage and who secures the machine against tipping.
- Empty cash boxes regularly; many policies only cover cash in machines up to a fixed amount.
- Fit water connections with an automatic shut off valve and record maintenance.
- For alcohol and tobacco, check the technical age verification, or you risk fines and trouble with the host.
- Stock left in the van overnight is often only partly covered; ask for a vehicle clause.

## FAQ

### Do I have to register my vending business?

Yes. Anyone who sets up machines of any kind as an independent business must notify the authority at their main place of business, under section 14(3) of the German Trade Regulation Act.

### Is insurance compulsory for vending machine operators?

Not for the machines themselves. Only motor liability for your delivery vehicle is compulsory. Many hosts, however, require public liability in the placement contract.

### Can I sell cigarettes or beer from a machine?

In public only if the machine stands where children and young people have no access, or a technical device or constant supervision keeps them out. For alcohol, a machine that is not in an inaccessible place must also stand in commercially used premises.

### What does insurance for my machines cost?

Public liability starts at about €150 a year. For 15 machines at outside sites with break-in and vandalism, about €600 to €1,500 is typical, depending on value and location.

### Is the cash inside the machine insured?

Only if the policy includes cash in machines, and then usually up to a fixed amount per machine. If you empty rarely, ask for a higher limit.

### Who pays if my machine causes water damage at a client's site?

That is a case for your public liability, if you are responsible for the damage. Make sure damage to rented or third party premises is included.
