# Insurance for event agencies and event technology companies in Germany

> An event has many people involved and just one date. If the truss comes down, the decorations catch fire or a guest trips over a cable, everyone looks for someone responsible, and that is often the agency. ## Who is liable if a guest is injured at an event: the agency, the client or the venue?

Often all three, and each passes it on. The agency is liable for what it plans, builds and operates, meaning stage, equipment, decorations and walkways. That is why you need public liability cover that includes events, set up and take down, and your client's risk as organiser. Also read the venue's hire contract: many shift liability onto the organiser there.

## What goes wrong in this trade

- **What comes from above:** Lights, trusses, banners and decorations hang above guests' heads. One badly secured point can cause serious injuries.
- **Trip hazards on the way:** Cables, risers, darkness and alcohol: guests falling is the most common injury claim at events.
- **The rented venue:** The smoke machine sets off the fire alarm, tape pulls the paint off the wall, a pallet truck damages the floor. The venue sends you the bill.
- **Equipment on the move:** Mixing desks, projectors and LED walls are constantly loaded, driven and set up. Transit damage and theft from the loading bay are common.

## What it costs: example prices

For event agencies, public liability is usually calculated on turnover. If you operate and set up your own equipment, you pay a higher rate. Equipment insurance is based on the new value of the kit.

## Practical tips from your broker

- Include damage to rented buildings and rented equipment with a sufficient limit, not just 5,000 euros.
- Make sure your client's risk is included, so that your client as the organiser is protected too.
- Choose at least 5 million euros cover. For events with many guests, local authorities often ask for more.
- Insure equipment for use at changing locations and check the conditions for theft from vehicles.
- For large events consider event cancellation insurance, which we can request separately if needed.
- Ask subcontractors and freelancers to show you their own proof of liability cover.

### Is event organiser's liability insurance compulsory in Germany?

There is no general legal obligation. Authorities often make it a condition of the permit, though, and venue operators require it in the hire contract.

### Are rented rooms and equipment covered?
