# Insurance for training providers, trainers and seminar organisers in Germany

## As a trainer, do I need public liability or professional indemnity?

Usually both, often as a package. Public liability pays if a participant falls in the seminar room or you damage the hotel's projector. Professional indemnity for financial loss (Vermögensschadenhaftpflicht) pays if a participant loses money because of wrong content, for example in seminars on tax, law, workplace safety or data protection. Pure soft skills training often gets by with a small amount of indemnity cover.

## What goes wrong in this trade

- **Wrong content:** An outdated section of law in the handout, a wrong deadline in a payroll seminar, a fire safety rule that no longer applies: anyone who acts on it and suffers a loss will claim compensation.
- **Certificates and exams:** An authority or chamber refuses to recognise a certificate because hours were missing. The participants have to retrain and want their costs back.
- **Other people's rooms:** Conference hotel, client's office, rented training room: coffee spilt over a client's laptop or a broken hotel flipchart happens quickly.
- **Practical exercises:** First aid courses, forklift licences, outdoor training: wherever participants get hands on, the risk of injury rises sharply.
- **The trainer drops out:** Illness on the day, travel that fails: hotel costs and refunds stay with the provider.

## What it costs: example prices

For individual trainers the premiums are low. What matters is turnover, the subjects of your seminars and whether practical exercises with a risk of injury are involved. Law, tax and safety topics are rated higher for professional indemnity.

## Practical tips from your broker

- Describe your topics precisely in the policy: seminars on law, tax, health and safety or medicine are often rated separately.
- Have practical exercises such as first aid, forklift training or outdoor elements expressly included.
- Make sure damage to rented and borrowed items in hotels and at clients' premises is covered with a sufficient sum.
- Date your handouts, state which version of the law they reflect and point this out. That noticeably lowers your liability risk.
- Insure mobile equipment with cover away from your premises and against theft from vehicles.
- Consider the voluntary entrepreneur's insurance with the VBG if you travel a lot: accidents on the way to a seminar are then covered.

### Do I need professional liability as a lecturer?

Not by law, but many clients and training providers require it. If you teach specialist knowledge that participants act on, you carry a real risk of financial loss claims.

### Am I insured through the training provider I teach for?

As a freelancer usually not. The provider's policy protects its own business and employees. Ask, or take out your own liability cover.

### What does insurance for a trainer cost?

Public liability starts at about 80 euros a year, financial loss cover at about 175 euros. As a package, solo trainers usually pay between 250 and 450 euros.

### Are participants covered for accidents during the seminar?

Usually not through you. Employees sent by their employer are covered by the employer's Berufsgenossenschaft, the statutory accident insurer. Participants who book privately have no statutory cover.

### Does the insurance cover webinars and online courses?

For content, yes, if online courses are listed in the policy. For data breaches and hacked platforms you also need cyber insurance.

### Who pays if I fall ill and the seminar is cancelled?

Not liability insurance, because a cancellation is not a liability claim. Set out clear cancellation terms in your contracts. For your own income, disability insurance or daily sickness benefit cover helps.
